 Customer Liaison Administrator for AnchorCert Gemmological Laboratory.

AnchorCert is the Gemmological Division of Assay Office Birmingham. We are the only UK Gemmological Laboratory that is UKAS accredited to ISO 17025. We are looking for a Customer Liaison Administrator to join our small team of gemmologists to support all administration aspects of the AnchorCert Gemmology Laboratory, as well as some Sales and marketing duties. Duties will include: ADMINISTRATION
  • Carry out all the administration duties within AnchorCert. These will include: data input, booking In, photography, checking data input as per the ISO requirement, invoicing, despatching and any other roles as required
  • Also technical screening work on the following equipment: screening on DiamondSure, Sarin and Diamond laser. Full training will be given.
  • Answering questions from Customers on all aspects of the services, pricing, progress chasing for AnchorCert.
  • Handling enquiries/issues on the phone in a professional and courteous manner.
  • Helping to ensure that lead time requirement is met on all orders.
  • Keep up with news and changes within the industry which may impact on AnchorCert, and flag any threats and opportunities.
  • Support the Senior Gemmologist to ensure that the work is distributed and managed amongst the team to achieve lead time.
  • Support the Senior Gemmologist to ensure that all daily or weekly maintenance or calibration of machines is carried out in accordance with instructions given by suppliers or UKAS requirements.
  • Continue to develop and maintain the AnchorCert accreditation to ISO 17025 with UKAS.
  • Assist in the daily stock take of product in the area.1
 CUSTOMER SERVICES
  • Taking enquiries from existing customers and prospective new customers and ensuring that these enquiries are properly recorded onto CRM, reported to the Business Development Manager (BDM)
  • Ensuring that CRM records are fully populated for all active customers and prospects.
  • Checking to see if work has come in from new prospects
  • Calling such prospects either to get orders/business or check satisfaction and safe receipt after dispatch.
  • Carrying out any follow up tasks from visits as required by members of the sales team.
  • Monitoring customer activity on a regular basis and contacting those whose volumes are dropping or have lapsed all together, proactively.
  • Analysis of the results of mail shots, promotions etc as instructed by the BDM
PERSON SPECIFICATION
  • Enthusiasm for the subject.
  • A minimum of DGA qualification – although practical experience is not essential.
  • Good communication skills to liaise with the AnchorCert team, other departments and Customers. Previous experience would be an advantage.
  • Good attention to detail and accuracy.
  • Must be self motivated.
  • Happy to work as part of the team but also manage own projects.
  • Must be able to be flexible.
  • Time management will be essential as the role basically has 2 hats.
