Job Title:       Preparation Supervisor Plus (Permanent) Department:  Operations (Preparation) Department 37 hours per week (times to be agreed with Manager) Hours:            Monday to Friday – Full time 37 hours per week The role is responsible for the team and the process that manages the receipt, order creation, progress chasing, invoicing and despatch into the hallmarking operation. The role will work with the other Departmental Supervisors, and Production Controller, to ensure that Customer priorities and work commitments are met overall. Also to ensure staff are used most effectively and transfer people to other departments when required. This is a very hands on role and will be involved heavily in the day to day operations as well as managing the team effectively. Main Duties are: PEOPLE
  • Recruitment of staff for the area
  • Succession planning for the area.
  • Performance management for the area.
  • Cross company working for efficiency and cost saving.
  • Implement a Skills Matrix and training program to transfer skills.
  • Be responsible all management responsibilities for the area.
PROCESS
  • Understand the hallmarking rules and regulations
  • Capacity planning with the other hallmarking areas and Production Co-Ordinator.
  • Understand and provide KPI’s for the area, driving for continuous improvement.
  • Process flow ownership, process improvement and documentation, for the area.
  • Ensure IT  best practice.
  • Work with couriers/logistics as part of process to ensure a smooth service.
  • Ensure delivery performance targets are met.
  • Ensure there are no losses from the area.
  • Control costing and spend within budget.
  • Define and manage KPI’s
  • Understand the “cost “of the operation
  • Ensure all ISO and process requirements are met.
CUSTOMER SERVICES
  • Liaise and support the Production Co-Ordinator with any Customer issues,      enquiries or investigations.
  • Ensure the straightforward progress chasing calls are taken by the Administration team and are dealt with within the required KPI’s.
  • Elevate complaints to Sales when appropriate.
Person Specification: MANDATORY
  • Proven people management skills, leadership and motivational skills.
  • Proven communication  skills with all stakeholders.
  • Have a good operational understanding and experience i.e. performance      measurement, capacity planning, costing etc.
  • Understanding of process and process flow and CIP.
PREFERRED
  • An understanding of the jewellery trade would be a benefit.
  • Customer facing experience would be of benefit.
  • Supplier experience.
A good understanding of process improvement.Lean working practice preferred
